is Taught How to Write an Effective Business Letter.
HOUSTON, TX-Laurel Prokop, President of Techstyle
Group LLC, delivered a class
on clear writing to the City of Houston's Department of Affirmative
Action and Contract Compliance (AACC). First presenting to the
group a brief summary of Standard English rules, Laurel then focused
on the principles of "plain language."
To make the class meaningful and usable, Laurel dissected the AACC's
own lengthy "re-certification" letter. The office annually
sends this two-page piece to Houston's minority, women, and disadvantaged
businesses (M/W/DBE) it certifies. By example, Laurel showed how
to improve their letter. She changed text-packed, redundant,
ambiguous, wordy text—too
long and
hard for today's busy executives to understand—into a crisp,
readable business letter saving an entire second page.
She presented basic plain language principles, offered simple
coaching suggestions, and demonstrated how to eliminate wordiness,
ambiguity, and confusing repetition--to help the staff's writing
and communication effectiveness.
The AACC class offered praise, appreciation,
and their resolve to improve individual writing skills. Manager
Velma Laws immediately put the revised letter into use.
